Leaver [Staff] Policy:

Market Deeping Town Council is committed to supporting its organisational operations and has devised the following policy to help support a smooth transition for those who leave Market Deeping Town Council.

The table below describes the activity and actions that the council will undertake to help support leavers (staff)

Administration Office 

RFO–Resignation /Retirement

 

1. Chair and all councillors informed immediately

2. In the case of the resignation of the RFO, the Clerk(s) would temporarily take on the role of the RFO and access the bank accounts

3. CTAX will be informed of the RFOleaving and will be given an alternative name in order to process payroll

4. WYPFand B&CEwill also be informed of the named change of contact for MDTC

5. A full reconciliation of bank accounts and Omega to be conducted before the person who is resigning leaves the organisation, after this point the person who is leaving is not to be involved in any financial transactions.

Administration

Clerk/RFO –resignation/retirement

 

1. Any keys held by the clerk/RFO who is leaving to be handed over to another member of staff     

2. Last date of service to be agreed as a matter of priority

3. A detailed handover to be conducted, which will include job shadow/preforming the role with the person who is resign still present, followed by a final sign off to the new incumbent.   This action also includes informing all key contacts are informed of name changes at MDTC

Town Hall

Cleaner -Resignation / Retirement

1. Chair and all councillors informed immediately as to the reason for leavingif deemed necessary by the Chair and Finance and Personnel Committee.

2. Last date of service to be agreed.

3. A detailed handover to be conducted, which will include job shadow/preforming the role with the person who is resign / retiring still present, followed by a final sign off to the new incumbent.  

4. As a key holder to the Town Hall the person who is leaving will give their keys to the new incumbent.

Public Toilets

Cleaner -Resignation / Retirement

1. Same process as above.

Cemetery

Cemetery Keeper

1. Chair and all councillors informed immediately as to the reason for leaving if deemed necessary by the Chair and Finance and Personnel Committee.

2. Last date of service to be agreed.

3. A detailed handover to the conducted, which will include job shadow/ performing the role with the person who isresign / retiring still present, followed by a final sign off to the new incumbent.

4. If a key holder the person who is leaving will give their keys to the new incumbent.

Open Spaces

Park Keeper / Park Keeper Assistant

 

1. Chair and all councillors informed immediately as to the reason for leaving.

2. Last date of service to be agreed.

3. A detailed handover to be conducted, which will include job shadow/performing the role with the person who is resigning / retiring still present, followed by a final sign off to the new incumbent.

4. If a key holder the person who is leaving will give their keys to the new incumbent. 

Note:  For roles that involve the issue of personal protection equipment, some items will not be asked to be returned, due to their personal use.
