TOWN HALL AND CEMETERY COMMITTEE

Minutes of the meeting of Market Deeping Town Council’s Town Hall and Cemetery Committee held on Wednesday 7th September 2022 at 6.15 pm at the Town Hall, Market Deeping.  Cllr Miss Collins presided over Cllr Broughton and Cllr Shelton.  The Deputy Clerk was also in attendance. 

30. Chair’s Welcome

Cllr Miss Collins welcomed members to the meeting.   

31. Apologies for absence

Apologies for absence had been received from Cllr Lester and Cllr Mrs Redshaw prior to the meeting.

32. To receive declarations of interest under the Localism Act 2011

There were no declarations of interest.

33. Minutes from meeting held on Wednesday 6th July 2022

It was RESOLVED unanimously to accept the minutes of the previous meeting as a true and accurate record.   The Chair signed the minutes.

34. Clerk’s report

The Clerk informed the members of the following:

Cemetery

 

Committee’s comments

Since the last meeting in July 2022 there had been 1 burial and 2 cremated remains.

Noted.

The benches purchased last year from the nominated supplier had not weathered well. Would the committee consider reverting back to the customer choosing the bench for committee approval.

 

It was RESOLVED that the benches in the Sanctum area would receive a coat of clear varnish.

 

It was RESOLVED that memorial benches would be chosen by the customer and approved by the Committee.

Town Hall

 

Committee’s comments

The engineer visited the Town Hall on Monday 22 August to fit the CCTV hard-drive, unfortunately due to the age of the appliance the hard drive was not compatible.  The company will be sending quotes for a new appliance or a compatible hard drive to fit the existing appliance.  The engineer informed that the latter option is likely to be more expensive and harder to source.

It was RESOLVED to obtain three quotes for a new appliance and bring back to the committee for consideration.

35. Update on work activity taking place in the cemeteries (old & new) 

•   The cemetery keeper had painted the benches, fences and gates in the cemetery.  
•   Headstones had been cleaned. 
•   Maintenance of the trees in the Spinney had been carried out in line with the tree inspection report.
•   Hedges had been trimmed in the cemetery.
•   Weeds around the graves had been resprayed.

36. Correspondence received up to 7th September 2022

There was no correspondence.

37. Finances: Omega reports: Review of budget/expenditure/income

The deputy clerk had presented a copy of the Omega report to all members prior to the meeting.  Cllr Miss Collins asked if there were any questions and there were none.

38. For members to allocate an EMR code for the £10k received from the Finance and Personnel Committee (£10,000 to each Committee) 

It was RESOLVED to allocate the £10k to the Town Hall refurbishment. 

39. Chair’s Town Hall Report

Cllr Miss Collins noted the comments in the Clerk’s report.  

40. Chair’s Cemetery Report

Cllr Miss Collins thanked the work carried out by the park-keepers and cemetery keeper for their continuous hard work in maintaining the cemetery. 

41. For members to consider and discuss any points raised in the Open Session.

There were none.

42. To consider items for inclusion on the agenda for the next meeting of Town Hall and Cemetery Committee

•   Update on the Sanctum benches
•   To consider quotes for a new CCTV system in the Town Hall

Cllr Miss Collins thanked everyone for their attendance and closed the meeting at 6.25 pm.  The next meeting of the Town Hall and Cemetery meeting will be held on Wednesday 2nd November 2022.
